The Situation

EPCVIP, a leader in lead generation within the Financial Services Industry, was struggling with a messy and underutilized Salesforce instance. Their data was disorganized, and critical information was not actionable, leading to inefficiencies in their sales and compliance processes. EPCVIP sought to streamline their operations by migrating to HubSpot Sales Hub Enterprise. Their goals included organizing their sales pipeline, improving visibility across teams, and automating key processes such as legal and compliance reviews and contract management.

 

The Solution

ATAK partnered with EPCVIP to design and implement a tailored HubSpot solution, addressing their unique needs:

  1. Data Migration and Organization:

    • ATAK evaluated EPCVIP’s Salesforce instance, identifying essential data to migrate, including contacts, companies, and deals. A custom Python script was developed to migrate deal attachments into HubSpot as notes, ensuring no critical information was lost.

  2. Custom Objects and Pipelines:

    • ATAK created custom objects, such as a dedicated space for legal and compliance reviews, to separate and streamline these processes from the sales pipeline. This allowed for better organization and visibility across teams.

  3. PandaDoc Integration:

    • To automate contract management, ATAK integrated PandaDoc with HubSpot. Templates were created for internal and customer-facing documents, automatically populating fields with deal data. This eliminated manual document creation and improved efficiency.

  4. Automations and Notifications:

    • ATAK built automations to trigger actions based on deal statuses, such as creating legal reviews or sending notifications to relevant teams. This ensured seamless communication and task completion across departments.

  5. Lead Scoring and Reporting:

    • ATAK implemented lead scoring based on contact and deal data, enabling EPCVIP to prioritize high-value leads. Custom reports were created to track key metrics, such as customer volume and company size, providing actionable insights for decision-making.

    • ATAK conducted comprehensive training sessions for EPCVIP’s 26 users, covering HubSpot functionality, custom objects, and automations. This ensured smooth adoption and empowered the team to use the platform effectively.
